Ultimately it comes down to prioritizing the preservation of materials based on factors such as condition. Another example project to look at was the preservation of Ted Nelson’s junk mail collection on the Internet Archive, which was self-funded by donations to paid volunteers who scanned the materials.

Hi Eric, The Hagley is using ArchivesSpace <https://archivesspace.org> for its finding aids. It's free and open source, although they do ask for institutions to become members if they can, in order to help support development.  It's pretty much the standard archival management software in the US, particularly among academic institutions.  My day job is with an organization that provide ASpace hosting to libraries and archives, so I know it well, and would be happy to help.
