Re: [vcf-midatlantic] VCF East 2024 videos
Jeff B., All, Well, looks like my VCFE talk was one of the first posted… it can only get better from here folks! My first Youtube video, in fact. I know the amount of effort that goes into recording and making these videos, so please do not take this as criticism. You folks do an awesome job. I only want to make things better if possible, and do a better job myself next time. I encouraged questions and interactivity right upfront in my presentation, I think the audience enjoyed that and I certainly did! But there was no way a mike could be run to each person asking a question or making a comment. I was also not diligent enough to repeat the question so it got recorded. So, the questions were mostly inaudible, but I (mostly) remember them. But it left information gaps in the audio. How is this handled usually if at all? Could the questions be captioned? Could a directional mike be used to pick up audience comments? (I’m not looking to make more work for anyone but me!) Anyway thanks to all who worked the talk production. And I will practice not saying ‘umm’ so much when I’m being recorded! -Crawford Griffith
For many of the talks, there was someone with a microphone running around the audience to capture the questions. Sorry your talk was overlooked. Can't fix yours after the fact, sadly, but let's hope to cover this in the future. On Tue, Jun 4, 2024 at 8:41 AM Crawford Griffith via vcf-midatlantic < vcf-midatlantic@lists.vcfed.org> wrote:

Yes. We had a lot more speaker supporters this year, but we still came up short for some of the talks. I appreciate you and all those who *did* cover the microphones and speakers. It brought the quality of the talks up to the next level.

There's a technical solution for this. I was working on this with an investor at one point, but the tech at the time wasn't ready. Now it is. https://www.biamp.com/products/product-families/crowd-mics These can be expensive though - i haven't dug too deep into it, but the technology is pretty straightforward. It's possible VCF may be able to get a discounted license. On Tue, Jun 4, 2024 at 10:23 AM Jeffrey Brace via vcf-midatlantic < vcf-midatlantic@lists.vcfed.org> wrote:

Getting the questions into the microphone has been a problem for years. I've made a lot of effort to 1) Get mic runners to ask people to speak into the microphone. 2) Remind speakers to repeat the question. I've thought about having a walk up microphone, but I'm not sure most people will want to do that. We can try next year. We got more volunteers for 2024, but we are still lacking. The A/V guys hand the equipment side, but we need a "Speaker Support" side of volunteers to handle issues such as this. I can ask the A/V guys about a directional microphone, but I think that a volunteer might be needed to move it. I don't know.
Anyway thanks to all who worked the talk production. And I will practice not saying ‘umm’ so much when I’m being recorded!
Yeah. That's a learning experience for all public speakers. I'm sure I do a lot of things that are distracting and can be improved myself!

I was a mic runner. And honestly it was very difficult because the speakers wouldn't work with me. I would search for people to raise their hand and be there with the mic and the speaker would pick someone else and I would try and run there but it wouldn't be in enough time. I did a pre-presentation talk but it didn't help. On Tue, Jun 4, 2024 at 10:23 AM Jeffrey Brace via vcf-midatlantic <vcf-midatlantic@lists.vcfed.org> wrote:

I appreciate you volunteering! I know how frustrating it can be. I've heard it before. I'm not sure of the best solution, but perhaps reminding the speaker to repeat the question. Perhaps some of the audience is shy about being on the recording? There has to be a solution that works to fix this problem.

I have installed audio conferencing, video conferencing and voice lift Systems, for the better part of 20 years. Regardless of how the system is engineered, there is no cookie cutter way of doing things. Each room is unique in its room acoustics, noise issues, etc. Adding cell phone audio to any audio system, whether it be audio conferencing, video conferencing or voice lift, is a no no. I have worked with Biamp Systems hundreds of times (installation, and DSP programming) I have been out of this technology for about four years now but, yes it’s a great idea to add to a existing system, but remember you will need more money to connect cell phones to these systems, much more than a wireless microphone with a Stand. Every lecture, discussion, or presentation during the introduction of the presenter, should explain “all questions would be asked from the microphone in the room.” This would indicate that there is a Microphone available, and people will know where it is. It’s not that hard to train people how to use it properly. Mike Rosen Sent from: My extremely complicated, hand held electronic device.

Christian, Yes, I was definitely part of the problem! 1. I encouraged spontaneous feedback/questions 2. I did not identify the questioner. 3. I did not wait for the mic to get to the audience member before answering. Sorry for all of the above, and especially sorry to you personally if you were stuck with my presentation. Looking for a way to make this better without making it harder on the show volunteers ... Maybe we suggest that the speakers bring an additional mic runner person with them to help out? More mics? And ask the audience to pass them? Or how about making the presenters volunteer as a mic runner *before* their presentation? -Crawford On Tue, Jun 4, 2024, 10:31 AM Christian Liendo <cliendo@gmail.com> wrote:

Hi.. No I wasn't your mic runner. I'm not trying to place blame or anything ,but trying to address an issue that needs to be addressed. Both speakers and volunteers want this to work out and in the moment of execution things fail and we just need to figure out what to do. Presenters are just trying to get through their presentation, they have a lot on their mind and I get that. We just need to work together to ensure it goes smoothly and as professionally as we can. I think volunteers and presenters should meet before to go over things prior to the speech I think there needs to be a written best practice for the presenters and runners , so they understand each other and can work together. I don't see more mic runners happening as getting volunteers is difficult. On Tue, Jun 4, 2024 at 11:10 AM Crawford Griffith <h.crawford.griffith@gmail.com> wrote:

Though I did not speak at VCF East, I do speak at these events on occasion. To the mic runners, I'd encourage you to just call out the issue in the midst of the presentation. I know it sounds a bit unprofessional, but when I am presenting, I forget some of these things. A diplomatically placed "Pardon, but please hold your question and response until the mic gets to you" or something equally directional and diplomatic would be a godsend when I forget to wait to respond to the question until the mic can arrive and the person repeat their question into the mic. Pre-planning is great, but speakers do tend to forget these things during the talk. Jim

AV dude here. We had mic stands and stuff for an audience mic, but the room is just wonky. I guess we could have people line up in the isle somewhere, or maybe in the middle... not in front of cameras? But do people have the energy to do so? Trip risk, etc etc Really, infoage needs to finish off a section of a building as an event space with no pillars in the middle, the full thing, and then we do the stage and have a lot more room with nice isles, no pillars in the middle of the room, etc etc Then they can rent it out for Bingo, Weddings, and other things. And the SCUBA group could use it for their swap meets, VCF could use it for swap meets and the main track with the girls bunkroom as the 2nd track. - Ethan

I agree that it is wonky. It worked well with CHM, but they have a proper stage and meeting space that is big and open. But when we setup the mic people automatically just went there to speak and it worked much better than running around.

Yes, but do you have a spare $400,000 per section to renovate it? It's really pricey nowadays to fully renovate a 7,000 square foot section.

They've literally had the plan to renovate two 7000 square foot sections for 15 years to do what you propose, but lack the money.

Price should be coming down with the house construction slowing, unless apartment construction is soaking up the labor.

Well, then it sounds like it will never get done if they haven't figured it out in 15 years. If it's a revenue generator then it could pay back the loan. But I am sure it's difficult to get the loan without collateral. - Ethan
