Hi Jeff,

You need to charge enough so that when they do go through with a deal,  all the uncharged expense, overhead, time and process is worth the overall effort to the organization.  

 I do understand that for a (mostly) volunteer organization, that it is very difficult to set a cost basis for uncharged time.  One reason I cut way back on selling PCBs and kits to the vintage computer market is that I wanted more time to work on other projects and I was basically making below minimum wage on those products.  If the organization thinks spending it’s energy on other projects would be more beneficial to the organization, you should consider raising the price or dropping the program entirely.

Obviously, if the cost is too high for the prop houses, then they will go elsewhere on their own accord.
